Start Me Up! - Part 23

At this point I have created a draft time-line of the day’s events and sent it off to the couple for initial review. Once the couple has reviewed this information and bounced it back to me, I update any necessary changes they have noted. When I sent them the time-line, I also sent them a document template where I had them fill in information about all their vendors and most important bridal party members (parents, maid of honor and best man). The couple provided me with the full names, company, email and contact numbers for ALL vendors they have contracted.

I have since emailed all of these vendors to introduce myself and let them know that I will be the event manager for the day, as well as any details and updates leading up to the wedding. In the same email, I also let them know that I will be sending along a preliminary timeline with event info such as load-in, strike, exact start & end times, etc. Essentially it is a very simple but very important virtual meet & greet. This also helps the vendors to feel more comfortable, and lets them know that they should now contact me for any wedding related & logistical issues – which helps take quite a bit of pressure off of the couple in these final months.

Please find the below excerpts of the sample Timeline and Contacts sheet
